The vast majority will have a number of special contact fields, and you can of course create them in MarketingPlatform. The advantage of a number field is that, unlike a text field, can be used for calculation. Many will have fields as order number, customer ID and postal code as number fields. If you use a number field for the postal code, it will be possible to use the field in a segment, that counts “All contacts that have a postal code between 6000 and 7100” – a text field will not be able to do so. We are looking at the creation of a number field here.

Add a contact field

In the menu we findContact Fields, then choose Add Fields, and then we are ready to create our contact field. On the right side we choose Numbers Only and we will be able to set up our number field with the values that we need.

After naming our number field, which in fact, in most cases, will be sufficient with setup, we still have a bit more choices if we go underAdvanced.

• Default Value is what is filled in in advance. If you make a form with this field and put on your website, it will act as a placeholder in the field.
• Field Length indicates the length of your input field when you include the field in a form on the website.
• Maximum Length indicates the maximum number of characters that can be written in the field.
• Minimum Length indicates the minimum number of characters that can be written in the field.

If you combine Minimum Length and Maximum Length you can by postal code only allow 4 characters. This will reduce the risk of import and key errors will be stored on the contact.

Find your contact fields

In the menu on the left “Contact fields” -> “View fields” you can always access your contact fields. Here you get an overview of either all your fields, our default fields or your custom contact fields.

As always, you have various options at the far right. From here you can either view, edit or delete the field. However, you can only delete your custom fields – not our default fields.

When you click on “View”, you will see the details of the field, for example, the field name, the field id and values associated with the field. In the example below you can see what values are saved in the contact field ‘Interests’.

Should you have a need to edit which values (in this case, the interests) your contacts can choose, click on ‘Edit’ on the list. You cannot change the field to another type of field, but you can correct spelling errors, add or remove values.

You can also delete one of your custom contact fields at any time. However, make sure that it is not a field you use elsewhere in the system (for example, in a form).

Insert the first name of your recipients

Say hello to your recipients in a proper way. Although the recipients of course are aware that they are receiving a newsletter sent to many, a personal greeting still helps reinforce the bond between your business and your recipients. It also gives the impression that the upcoming newsletters will bear the mark of certain degree of personalization and tailor-made content.

Select and insert

Select where in your text you would like to insert the contact field, select “Insert Contact fields’’ and then find the contact field you would like to merge into. Many companies import the first name of their contacts, but you can merge any field. It may be that you will merge the name of the event the contact has signed up for, the name of their pet or their date of birth in a birthday trigger.

At the sending, we check each recipient and merge the field into the campaign. You can insert a value that we can call back on, if a recipient does not have a first name in their contact sheet. It could for example be “Dear customer”.

Create a Field of Interest

When you need to create your interests field, you need to go in the menu Contact fields – Add contact fields. You give your field a name, interest, category, profile, or whatever it fits with your setup. Then you define on which list the field is to be used.

Create an interests field via a checkbox field

On the right hand side, you need to choose what type of field you want to use. In this case, there are three options:

• Dropdown: The Dropdown menu allows the contact to choose one value in the range of options.
• Checkboxes: Here the contacts can choose several values.
• Radio buttons: Radio buttons are often used for yes/no questions. The contact can only choose one value.

For an interests field, it is often best to use a checkbox field. It gives the contact an option to select several values.

Once you have defined which type of field you want to use, you can, at the bottom of the page, enter the values, or answer options that you contacts should choose from.

You can, at any time, create a date field. A date field can, for example, be used for date of birth, order date or event date.

As always, when we create a contact field, we start under Contact fields – Add fields. First you need to name the field and you need to choose which list(s) the fields should be used on. Then you choose which type of field you need – in this case the date field.

Advanced settings

Little down the page on the left, you will see a preview of the field. On the right side you can select advanced, which you can use to define the field’s settings.

• Default value is a date that you can define. If a contact does not fill in the field, for example in your sign up form, you can determine the date that the contact should have. In most cases, you should leave this blank.
• Date display order defines the order in which the date should be in. For example, day-month-year. Some CRM and web systems use a different order and you have therefore an option to adjust the date field in MarketingPlatform.
• Start og slut år define the range of years that can be chosen.

If you do not find the field that you need in our standard fields, you can, at any time, create your own field. In order to create contact fields go under Contact fields – Add field. Regardless of the type of contact field, always start by naming the field and choosing which contact list to use.

How to create a text field

By using a text field, you get a field in which you can write a value yourself. It is often information that differentiates greatly from contact to contact, which is made as a text field – e.g. first name, company name, comments or similar.
Once you have chosen to create a text field, you get a box down the page named Values for new Contact Field: Text Field. Here you can make rules for your text field, if you go under the Advanced tab. You can decide:

• whether the field can be used as a link, for example when merging in a campaign
• which value must be in the field if a form is used, e.g. “Enter your name”
• how long should the field be when used in a form
• max. number of characters for the value entered. It is for example the few first names that exceed 20 characters.
• min. number of characters that can be entered. Again, few are named X for first name.
