Find your contacts

By using the search bar at the top right, you can quickly find a contact. You just need to insert email address, mobile number or Subscriber ID, and we quickly find the contact. It is of course logical to search for an email address or mobile number. If you use Google Analytics, then you know that you are referring to your subscribers by using Subscriber ID, and you can of course also search with Subscriber ID. It is also through this search box that you can find your GDPR deleted contacts. Read more about how MarketingPlatform complies with GDPR. 

Once we have found the results of your search, you will see different information on the contact list. You can, for example, see which list(s) you can find the contact on, when the contact is added on the list(s), and whether the contact is active, confirmed or unconfirmed. On the far right side you can click View and get more information about the contact – e.g. which campaigns are sent to the contact, if there is open or clicked, and general contact data that you have about the contact. You can edit the contact’s information as well as GDPR delete the contact if requested.

Make a general search

If you want to make a general search, for example anyone who has “white wine” in any contact field, you just need to remove the check mark to include contact fields in the search.

If a contact asks you to delete all the contact’s data, it is your obligation to GDPR- delete the contact in your system. Below, we will explain how to GDPR-delete and re-subscribe a contact.

GDPR Delete a Profile

You may experience that a contact requests that you delete all the contact’s data in accordance with GDPR. In this case, you can delete a contact directly in MarketingPlatform.

Find the contact in the search bar at the top of the page. You will then see a list overview of all the lists to which the contact is subscribed. At the far right, you will find an icon of a trash bin. When you click on it, you will receive a notification asking you to decide on your next step.

By clicking on Delete, you agree to GDPR-delete a contact. You will no longer be able to see the history of the campaigns the contact received, opened, clicked on, etc.

Find and re-subscribe a GDPR-deleted contact

Once you have GDPR-deleted a contact, the contact will no longer appear in the lists to which the contact was subscribed. The only way you can see the deleted contact is by searching the contact in the search bar at the top of the page. Upon doing that, you will see the same lists to which the contact was subscribed, as you could see before. At the far right, you will see an icon indicating that the contact has been GDPR-deleted – and you will now have an option of clicking on “re-subscribe” button. Once you have clicked on the re-subscribe button, you need to confirm that you are re-subscribing the contact. After that, the contact will receive a new confirmation email, in which the contact needs to confirm the subscription, just like the first time when the contact subscribed to your newsletter. This is the only way to re-subscribe a GDPR-deleted contact. The contact cannot subscribe via, for example, your forms, but must contact you directly.

If you manually update your contact list, you may have received a list of contacts who have unsubscribed – but have not done so directly in the newsletter which is why you have a list of contacts to unsubscribe. Instead of doing this individually for each contact, you can do this all at once.

Unsubscribe multiple contacts

In the menu under “Contacts” you will find “Unsubscribe contacts”. Here you choose which contact list the contacts should unsubscribe from and after that you insert or write the email addresses to unsubscribe.

Click on “remove contacts” and the contacts will be unsubscribed. Should there be errors in your list, e.g. a contact is not subscribed to the list, this will be written at the top of the page, so that you know that the contact is not unsubscribed.

Import unsubscribed contacts

You can also choose to import your contacts as unsubscribed. To do so, go to Contacts -> Import contacts.

Here you choose which list to unsubscribe your contacts from and then upload your file with the unsubscribed contacts. The important thing is that you choose the contacts to be imported as unsubscribed. Check that the column with email addresses is also mapped correctly, so that on the top of the column says “Email address”. When you click on “Finish”, you will get a notification that you are about to unsubscribe your contacts. Confirm and your contacts will be unsubscribed. As always, when you import contacts, you will receive an email when the import is completed.

To import contacts to MarketingPlatform, you’ll need to create the list and specific data fields which you’ll be using on the list.

First, you’ll start with the list creation, then data fields creation, and complete the process with the list import.

List Creation

Select the LISTS menu and choose sub-menu ADD LIST.

You can give the list a name (e.g., Test List).

Underneath you have the option to enter information about your list.

The fields marked with an asterisk are obligatory, the remaining fields are optional.

  • List description – is for your own reference.
  • Send from Name – this is the default “From” name and what will be seen by your subscribers when you send a campaign email to them.
  • Send From Email – this is the email address that will be used when you send a campaign to this contact list/the email address that will be visible to your recipients.
  • Default from language– this option is to define what language you’ll be using.
  • SMS Country prefix– you can select an SMS country prefix, depending on the country.

On the right side, you can also enter Company Details. It is mandatory to enter valid company details in this section (including your Company Name, Company Address, Company Email, and preferably your Company Phone Number and Company Domain), due to the fact that some of these details will be replacing placeholders that appear in forms, as well as email and SMS campaigns. Doing this ensures that where these Contact fields appear in your campaigns (for instance in the unsubscribe link, campaign headers or footers, etc.) consistent and correct information will always appear. In case you need to enter your Company domain, please make sure that it always includes “www”.

When creating a list, you must define in advance all data fields relevant to you. Data fields are equivalent to the column names on your files (excel or CSV file). They need to correspond to the data fields from the imported file.

  • There are Basic Data Fields defined by default in the platform, and you cannot delete/edit them.
  • Own Basic Data Fields are fields created by you.
  • All Fields refer to all fields available.
  • One-To-many Fields are data fields containing deep data.

Once you have defined all data fields, you’ll need to drag and drop them from left to right. Let’s say your import list will include First Name and Telephone No. Thus, we drag and drop these two fields (email address is mandatory, so we don’t have to drag and drop this field, it will already be on the list).

Data fields creation

If you have other data on your file that is not included, you need to create these data fields additionally.

More info on how to create a data field can be found here.

Once you are done, you’ll need to save the list.

List import

Select Profiles menu and choose the sub-menu Import profiles:

Under IMPORT PROFILES we can import multiple Profiles to the created list using CSV or Excel file.

  • You’ll need to select the list on which you should import the contacts.
  • On the right section by clicking on the marked field you can click to upload the file, or you can drag and drop the file.
  • Under Advanced Import Settings, there are options like “Mark as confirmed” where you can tick the option confirm if the client has confirmed their status if however, your contacts are not confirmed then you must choose the unconfirmed status.

NOTE: Any unconfirmed contacts you import we’ll receive a confirmation link email to ensure they are aware of their presence on your Contact List and can then give their informed consent to receive emails from your company.

  • You can also choose a status: “Subscribed” or “Unsubscribed”.

By selecting Add new Profiles and update existing, three sub-options will appear:

  • You can overwrite existing profile data with empty data
  • Merged field data were possible
  • To not update confirmation status for existing profiles

By selecting Do not add new profiles-only update existing is applicable in situations when some changes are made to the existing profiles and by selecting this option, the values will be updated.

The available option too is to not update the confirmation status by selecting Do not update confirmation status for existing profiles.

And the profiles can be added to autoresponders, by selecting Yes, add Profiles to autoresponders.

The next step would be to map the fields on the list with the fields on the importing file.

It can be done by using the dropdowns to define which data fields in MarketingPlatform should correspond with which fields in the importing file: Email Address, First Name, etc.

The custom data fields will also appear.

When mapping is completed, you can click on the Finish option to complete and save this process.

Export of contacts

To export your contacts, in the menu, find “Contacts” – “Export contacts”.
First, choose which list or segment you would like to export to. Then, select which file type you want to export to. You can choose either a CSV or XML file.

This is how it looks when you need to export your contacts

You have to define how the data should be structured in your export – should there be a headline on the columns, such as first name, email, postal code; should the data be separated by a comma, or in your case, better with a semicolon or something third. You can also choose whether data should be “enclosed by” some certain characters, or without. It is up to you. If in doubt, use our standards.

Next, select which contact fields you want to export. Perhaps it is only relevant for you to export email and first name, or maybe you need all the data on the contacts. The system will show you all the fields tied to the list, so if there are fields you do not need to export, select “None” for that field.

Once you have selected the fields, you can click on “Start export” and you will get a green pop up in the bottom right corner telling you that the export is in progress. You will receive an email when the export is completed. It is sent to the administrator email your account is created on.

You get the result of the export on your email and you have 48 hours to download your export.

View Profile Details

If you would like to see your contacts, there are several ways to find your contacts. You can either go under “Contacts” – “View contact” to get the overview of your contacts. At the top of the page you will be able to see how many contacts you have in total on your account, as well as how many of these are active. You can also go under “Contact lists” – “View contact lists” and see the contacts that are tied to that list. You can also search a specific contact if you want to see what data you have of that person. Read more here about how to search for a contact

When you find a specific contact in one of these ways, you can see different information – “Contact Details”, “Contact fields” and “Event log”.

Contact details

Under Contact details you will find the primary data on the contact. There is email address and mobile number; whether they are confirmed or not; unsubscribed or active, as well as when they have subscribed and/or unsubscribed. On each contact you will also see MailRating. It is a score for the contact’s activity level. A VIP contact opens everything you send and will interact with your newsletter by, for example, clicking on links, whereas a contact with MailRating as “good” opens most and clicks often. If a contact is defined as “average” or “poor” the activity is limited. You can use MailRating for the segmented sendings, so that you change the bad recipients into good recipients.

“Contact request date” and IP show which date and from which IP the subscription came. “Contact confirm data” and IP refer to date and IP for when the contact has confirmed the subscription. “Subscriber source” shows where the contact came from, for example, your web form, import or via the API.

Contact fields on selected lists

On the right side, you will see the contact fields that are tied to the list and the data that you have on the contact such as, for example, first name, postal code, interest, shoe size etc.

Event log

The Event log gives you an overview of what of campaigns, autoresponders/triggers and SMS you have sent to the contact. Here you will also be able to see which campaigns the contact has opened and whether the contact has clicked on the links. If you want to see which links the contact has clicked on, you will find it in the statistics.

Export info

If you need it, you can, at any time, export the individual contact. At the top right of the View contact page, there is a button “Export info”. Here you can easily and quickly download the contact in question to either excel or xml.

Add a Profile Manually

If you have one or only few contacts that you need to add to your list, you can do it manually. Go to Contacts – Add a contact. Here you first choose to which list the contact should be on, and as a minimum, you fill in either email address or mobile number of the contact. If you have other data, you can fill it in your existing contact fields on the list.
You can also add a contact directly to a list by going to Contact lists – View contact lists. Here you can select Add contact to the far right.

When you manually add a contact to your list, you can fill in the following:

  • Email and/or mobile number (one of these two must be filled in)
  • Confirmation status. If you already have the permission on the contact, you can make it as confirmed. Otherwise you need to choose unconfirmed.
  • Check the box if the contact should receive your flow of autoresponders and triggers.
  • The contact fields that you have tied to the list – if you already have that data
